Switching to ServiceIQ: Your First 30 Days

Quick answer: The worry with new software usually comes down to one bad week, a PM stuck in setup while a pour slips, or a foreman going back to texting photos because the app slowed him down. Switching to ServiceIQ runs on one pilot job for the first 30 days, week by week, with daily setup emails, in-app tutorials, and a 24-hour response time if anything gets stuck, before the rest of your jobs and crews come on.
Key Takeaways
- ●The first 30 days run on one pilot job, added to slowly once the crew is comfortable with it.
- ●Week 1 sets up the pilot job, Week 2 puts it in the foreman's hands, Week 3 runs the whole job through it, and Week 4 adds the next jobs.
- ●Your whole team, plus clients, subs and suppliers, can be added at no extra cost, and outside approvals happen by email with no login required.
- ●Five questions at the end of Week 3 show whether it's working: are updates coming in unprompted, is every change captured, are approvals faster, can the office answer without calling the field, and what's still stuck on the whiteboard.
- ●If anything gets stuck, ServiceIQ's team responds within 24 hours on business days.
The worry with new software usually comes down to one bad week. Your PM is stuck in setup while a pour slips, or a foreman goes back to texting photos because the app slowed him down.
This page walks through the first 30 days with ServiceIQ week by week, who does what, what moves over, and how your jobs keep running while it happens.
Before You Start
Pull these together before day one and setup goes faster.
- →A list of the jobs you want to start in ServiceIQ, with one live job picked as the pilot
- →Your crew list: names, roles and phone numbers
- →Current schedules for the pilot job, in whatever form they're in now
- →Your subs and suppliers' contact details
- →One person in the office who owns the rollout
- →A meeting booked with our team if you'd like us to walk you through setup and help with any integrations
You start with one live job and add the rest once the crew is comfortable.
Week 1: Set Up the Pilot Job
You choose how much help you want. Book a meeting and we'll set up the pilot job with you, or sign on and do it yourself. Either way, you'll get daily emails from us walking you through setup, tutorial cards inside the app, and a help center and knowledge center when you want to look something up. If you get stuck, reach out and we'll get back to you within 24 hours on business days.
By the end of the week, the pilot job is live in ServiceIQ and the PM can see it from the office.
Week 2: Put It in the Foreman's Hands
There's very little training involved. Your foreman can ask ServiceIQ to send a report, check the weather on the job, or ask it anything else they need. Add your whole team at no extra cost, so nobody's left texting updates to the one person with a login. When you need an approval from someone outside the company, they can approve by email without signing on.
The goal this week is simple. The foreman logs real updates by voice from the job, and the office sees them land.
Week 3: Run the Job in It
Change orders, schedule changes and punch items on the pilot job go through ServiceIQ only. The old spreadsheet or whiteboard stays as a backup, not the source.
At the end of the week, check five things on the pilot job:
- →**Are updates coming in without reminders?** If the foreman only logs when the office chases him, find out what's slowing him down.
- →**Did every change get captured?** Compare what happened on the job against what's in ServiceIQ. Anything missing is money you might not bill.
- →**Are approvals moving faster?** Look at how long change orders and outside approvals took compared with before.
- →**Can the office answer questions without calling the field?** If the PM still has to pick up the phone to find out where the job stands, something isn't getting logged.
- →**What's still on the whiteboard or in texts, and why?** Whatever is still living outside ServiceIQ tells you where the habit hasn't moved yet.
If anything's sticking, reach out and we'll help you sort it before you add more jobs.
Week 4: Add the Next Jobs
Once the pilot is running clean, load the next jobs and bring on the other foremen.
By day 30 you should be able to answer one question from your phone without calling anyone: where does each job stand right now?
Who Does What
| Who | Their part in the first 30 days |
|---|---|
| Owner | Picks the pilot job, tells the team ServiceIQ is how jobs get run now, and checks the week 3 questions |
| Office lead | Owns the rollout, books the meeting with us if you want one, loads the pilot job |
| PM | Runs the pilot job in ServiceIQ and stops asking for updates by phone |
| Foreman | Logs updates by voice from the job and asks ServiceIQ for what they need |
| Clients, subs, suppliers | Approve by email when you need them to, no login required |
